Building a custom talent pipeline platform for applicant intake, scoring, and admin review.

ESDIAC TIP needed a structured platform for collecting talent applications, routing candidates through category-specific evaluation workflows, and managing shortlisted applicants from one admin pipeline.

Business problem

A manual recruiting process needed to become a structured application and evaluation system.

The client needed more than a basic application form. Applicants had to submit profile details, portfolio links, supporting files, and category-specific answers. Evaluators needed a place to review assigned applicants and submit scores. Admins needed source tracking, status control, audit visibility, and a pipeline for shortlisted talent.

Primary goals

  • Create separate applicant, evaluator, and admin workflows.
  • Support category-specific applications for Developers, AI Geniuses, Brand Masters, and Sales/Marketing Gurus.
  • Add evaluator assignment, scoring, status tracking, and review visibility.
  • Track recruiting agency/source links without overbuilding a full partner portal.
  • Reduce friction around the ESDIAC mobile app download and connection step.
What was built

A multi-role SaaS platform for applications, reviews, scoring, and pipeline management.

Applicant intake

Registration, login, OTP/email verification, category selection, profile fields, portfolio links, supporting uploads, and guided application flow.

Evaluator workflow

Evaluator dashboards, assigned application queues, review screens, score submission, multi-evaluator logic, and review-status tracking.

Admin control

Applicant management, evaluator assignment, filtering, cohort comparison, leaderboard visibility, audit logs, and status updates.

Talent pipeline

Shortlist management, pipeline status tracking, drag-and-drop candidate movement, and admin visibility into candidate progression.

Implementation details

Built around real workflow complexity, not a one-size-fits-all form.

The platform combines role-based access, responsive React screens, REST API endpoints, MongoDB records, authentication, file upload handling, agency/source attribution, audit logging, and staging-to-production deployment planning. The app download verification flow was designed as a best-effort browser/device flow because modern browsers do not expose a guaranteed mobile-app-install verification API.

Platform flow

Applicants apply, evaluators score, and admins manage the pipeline.

  1. Applicant creates an account, verifies access, and selects a talent category.
  2. Applicant completes profile details, category-specific questions, portfolio links, and supporting uploads.
  3. Applicant completes the ESDIAC app download/connect step with a device-aware fallback flow.
  4. Admin reviews applicants, tracks source attribution, and assigns evaluators.
  5. Evaluators review assigned submissions and submit category-based scores.
  6. Admins compare scores, update statuses, shortlist applicants, and move candidates through the talent pipeline.
Client outcome

ESDIAC gained a structured system for collecting, reviewing, scoring, and managing talent applications.

The final platform created a cleaner path for applicant intake, source tracking, evaluator review, scoring visibility, audit history, and shortlisted-candidate progression through a centralized talent pipeline.
